Location: Sturgis Area Community Foundation, 214 W Chicago Rd, Sturgis, MI

Employment Type: Full-Time

Hours: Monday-Thursday, 8:00AM-4:30PM, Friday 8:00AM-2:00PM

Position Summary:

The Office Manager plays a critical role in supporting the Executive Director, managing office operations, and ensuring the efficient day-to-day function of the foundation. This individual will serve as a key administrative resource, facilitating communication with boards, volunteers and donors. This role plays a key part in ensuring the timely and accurate processing of gifts, donor acknowledgements, invoices, payments, and expense reimbursements—contributing to our commitment to transparency and fiscal responsibility.

Key Responsibilities:

Administrative Support & Office Management

  • Manage daily office operations, ensuring a professional and organized work environment.
  • Serve as the first point of contact for visitors, donors, and community partners.
  • Ensures office opening and closing in accordance with advertised business hours.
  • Handle incoming correspondence, emails, and phone calls, directing inquiries as needed.
  • Accurately process all incoming gifts, invoices, grant payment requests, and vendor payments in accordance with foundation policies.
  • Prepare check runs and electronic payments, ensuring proper documentation and approvals are in place.
  • Maintain up-to-date records of accounts payable transactions and vendor files, including W-9s and contracts.
  • Communicate with staff and vendors to resolve discrepancies and respond to payment inquiries.
  • Help maintain strong internal controls and compliance with financial procedures.
  • Maintain office supplies, technology, and equipment, coordinating with vendors as necessary.
  • Oversee document management and records retention in compliance with foundation policies.

Executive Support

  • Prepare agendas, presentations, and meeting materials for internal and external meetings.
  • Record and distribute meeting minutes for board and committee meetings.
  • Assist in drafting correspondence, reports, and communications on behalf of the Executive Director.
  • Maintain board member records, ensuring up-to-date contact information and term tracking.

Donor & Community Engagement

  • Assist with donor stewardship by preparing acknowledgment letters and donor reports.
  • Support fundraising and grantmaking activities, including event planning and logistics.
  • Maintain donor and community partner databases, ensuring accurate and timely data entry.
  • Help coordinate outreach and communication efforts, including mailings.

Qualifications & Skills:

  • High school diploma or equivalent required; associate’s degree in business, accounting or related field preferred.
  • 3+ years of experience in office management, executive support, or nonprofit administration.
  • Accounts payable or general accounting experience is a plus.
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and database management.
  • Ability to handle confidential information with discretion and professionalism.
  • Experience with nonprofit governance, donor relations, and event planning is a plus.
  • A proactive, resourceful, and collaborative team player with a commitment to the foundation’s mission.

Compensation & Benefits:

  • Pay: $22.70 – $27.33 per hour
  • Compensation is commensurate with experience. Paid benefits package including health insurance, retirement contributions, parental leave, and paid time off.
